Renewing Your Membership
Renewing your annual membership is easy.
On your account anniversary date, you'll receive an invoice to renew your membership. If your account information is current, you don't have to do a thing -- we'll renew your membership, automatically, 30 days after you receive your invoice. If you need to make changes (such as changing account billing information), you may do so within the 30 day grace period to ensure a smooth renewal.

Q. How are Supplier Membership Program fees calculated?
A. Membership fees are based on the transaction volume of qualifying relationships, which are buyer-supplier relationships with over $100,000 USD in transaction volume and 15 or more documents.
Fees are assessed as a small percentage (0.1%) of volume per qualifying relationship on the Ariba Supplier Network. Relationships with fewer than 15 documents or transaction volume of less than $100,000 USD are exempt from fees.

Q. When will I need to renew my account membership?
A. You will receive a renewal pre-announcement 45-days prior to your anniversary date. On your anniversary date you will receive a second notification detailing your revised fee calculation based on usage levels during the previous year's membership term.

Q. How was my renewal fee assessed?
A. Ariba uses a model of evaluating fees for future usage based on your historical data. On your anniversary date, your account will be evaluated on a 12-month historical basis. Pricing is based on the number of the buyer relationships that have crossed the qualifying threshold of 15 documents and $100,000USD in transaction volume in the preceding year. Q. How does the renewal process work?
A. An invoice will be generated for your account on your renewal date. At that time, your account enters a 30-day grace period starting from the renewal date. You can do a manual renewal or cancel your renewal during this period. If you don't take any action then you account will be processed for auto-renewal at the end of this period utilizing the payment method selected for the prior year.

Q. How can I cancel my subscription?
A. If your account is within the 30-day grace period, you may cancel your subscription by logging into your account, rejecting the customer relationships which are in excess of the defined thresholds and canceling your subscription.
If your account is past the 30-day grace period, you may contact Ariba Customer Service to ask for assistance in canceling your subscription as it is not a self-service option after the 30-day grace period has expired.

Q. If I cancel my subscription this year, will I owe any paid Membership fees next year?
A. If you reject all of the relationships which were in excess of the defined thresholds for the current period, you will only owe paid Membership fees in the following scenarios:
- If you select to sign up for either Premier/Elite membership on a voluntary basis
- If you have other Basic relationships that exceed the defined thresholds in the future
- If you add any new relationships to your account that exceed the defined thresholds in the future

Q. Why is the 30-day grace period offered?
A. The 30-day grace period begins on your membership anniversary date, and allows you time to consider which options are best for your organization in the coming year. During this period you can make a number of changes such as change of billing method, add new services, eliminate chargeable buyer relationships or cancel your subscription for either optional services or lost business. Membership subscriptions that are required as a result of relationships exceeding the defined thresholds may not be cancelled unless the specific relationship resulting in the subscription requirement is cancelled. Once this specific relationship is cancelled, no further transaction activity can occur between the parties via the Ariba Supplier Network.
At the end of the 30-Day grace period, unless you elect to cancel your optional membership, your membership will be renewed automatically utilizing the same payment method selection you chose during the prior subscription term.

Q. What is "Manual Renew"?
A. Using Manual Renew, you can renew your account instantly. You can also change the billing method or sign up for any optional services during the manual renewal process.

Q. What is "Auto Renew"?
A. Ariba will generate an invoice for your subscription on the anniversary date of your account. If you take no action to manually renew your account or change your payment method, your membership will be automatically renewed at the end of the 30-day grace period utilizing the same payment method as you chose in the prior year.

Q. Why is Auto Renew being used to renew my Membership?
A. Membership is a mandatory service if any of your relationships are above the qualifying threshold (15 documents and $100,000 USD in transaction volume). In case you are not able to manually renew your membership within the 30-days grace period, auto-renew does it for you. This saves your account from getting suspended and ensures that service to your customers remains uninterrupted. The terms for the auto-renew process is included in your Membership agreement.

Q. How do I pay for the renewal of my account?
A. All accounts subject to renewal will receive an auto-generated invoice on your anniversary date. If you choose credit card as the payment method and you manually renew your account, your card will be charged on the same day that you perform the manual-renewal. If you let your account auto-renew, your credit card will be charged at the end of 30-day grace period. If you choose the check payment method, Ariba will be anticipating the receipt of your check/wire transfer payment within the net terms provided on the invoice.

Q. How do I cancel my membership?
A. You will see the Renew/Cancel button in the Membership subscription details on the "My Services" page. Click on the button to start the process of cancellation. You can cancel the renewal only during the 30-day grace period.

Q. After I cancel my Membership subscription can I change my mind?
A. Yes, after you have submitted your cancellation request, we provide you an additional 15-day grace period in case you change your mind. After the additional 15-day grace period, Ariba will complete the subscription cancellation process.

Q. What happens once my subscription is suspended?
A. Premier or Elite membership is required if you have any qualifying customer relationships, and you cannot cancel your membership if you intend to continue transacting with these customers via the Ariba Supplier Network. When your account is suspended, you will not be able to:
- Receive purchase orders or other incoming documents from your customer
- Send invoices or other outgoing documents to your customer
- Perform transactional tasks, such as flipping or processing purchase orders
- Publish catalogs
- Not be able to establish new customer relationships
- Not have access to Premier/Elite Membership features

b span class="faq">Q. How can I reinstate my Membership after my membership has been suspended?
A. Once your membership has been suspended, you will only be able to transact on relationships that are below the defined thresholds. To reinstate transaction activity for relationships above the defined thresholds you will need to pay for the existing outstanding invoices on your account for either the required Premier or Elite Membership based on your transaction activity. Please login to your account, click "My Services" link and select the designated required Membership.

Q. If my credit card on record is no longer valid what happens then?
A. If for some reason your credit card charge fails, you will receive a notification from Ariba Supplier Network instructing you to update your credit card information. You will have 15 days to provide valid credit card information before your membership is suspended.
If you need to add a new credit card to your account, you are able to do so at any time.

Q. If I chose credit card payment last year, can I change payment method?
A. Yes. At any point while you have an unpaid invoice on your account you may come in and change the payment method from either check to credit card or vice versa.

Q. What happens when the invoice is generated for auto renewal?
A. All invoices are generated on your account on your anniversary date. You have a 30-day window to make cha ges (reject relationships, add additional services, etc…). The invoice is available to you by clicking on the "billing" link under "My Services" tab of the left menu bar. After this 30-day grace period, the same payment method that was selected in the prior year is applied and your account is renewed.

Q. What happens if I had one or more chargeable relationships last year but none this year?
A. Even if you do not have any chargeable relationships this year, you can continue to take advantage of the advanced features of either Premier/Elite Membership by renewing the subscription, at the base price of $295USD/year for Premier or $2,995USD/year for Elite Membership.
If you don't want to renew your subscription, you must cancel the subscription during the 30-day grace period. Please login to your account, click "My Services" link and select the cancel option.
Please note that if you choose to continue at the Basic Membership level, the Ariba Supplier Network will continue to evaluate your account and trading relationships on a monthly basis to determine if your transaction volumes exceed the transaction volume threshold of 15 documents and $100,000 USD in transaction volume. When this occurs, you will need to upgrade your account to Premier or Elite Membership, whichever is applicable. Q. I thought I had an MWOB exemption? Why am I being charged for membership?
A. . Starting May 1, 2007, Ariba implemented a new policy for determining exemption status eligibility for waiving the charge for Premier/Elite Membership on Ariba Supplier Network.
To qualify for the exemption, you will have to meet the following two criteria:
- Your organization must be certified with an accredited national organization such as:
a. Women-owned business
- WBENC (Women's Business Enterprise National Council)
- NWBOC (National Women Business Owners Corporation
- State of Virginia & District of Columbia
b. Small Disadvantage Business
- Minority-Owned Business (National Minority Supplier Development Council)
- SBA (Small Business Administration)
- State of Virginia & District of Columbia
c. 8(a)
d. Hubzone
- The buyer relationship must be a federal, state or local government agency or be a 501 (c) (3) organization under U.S. laws.
The outgoing exemption program is the result of feedback Ariba has received regarding inconsistent benefits for domestic and international suppliers.
Q. If I am a Premier or an Elite Member and my transaction volumes during my membership term for all my chargeable relationships go below the transaction volume threshold, will I still be required to subscribe to Premier or Elite Membership upon renewal the following year?
A. No. You may continue your service as a Basic Member after your annual Premier/Elite Membership term ends once you choose to cancel either your Premier or Elite Membership service. Note that you will no longer be able to enjoy the additional features and benefits of Premier/Elite Membership, as your feature access will revert to the Basic Membership level upon your cancellation of your subscription. You can choose to continue to keep your Premier/Elite Membership status by subscribing to Premier Membership for another year at the time of membership renewal for the voluntary fee of $295USD for Premier or $2,995USD for Elite Membership.
